Position: Office Administrator

Your role will involve managing day-to-day office operations, coordinating administrative tasks, and ensuring the office runs smoothly. Office Administrator Job Responsibilities:
- Reception duties…kindly greet & sign in all visitors, accept mail & courier deliveries
- Telephone back-up to Customer Service
- Oversee the day-to-day functioning of the office, ensuring that administrative processes run smoothly.
- Support managing partners, handling correspondence, preparing documents for special projects, and scheduling meetings.
- Maintain filing systems and ensure the proper retention, protection, and disposal of records.
- Support to Order Services by daily order entry & verification of orders
- Manage Return Goods Authorizations
- Purchasing of all office & warehouse supplies
- Assist Finance with monthly bookkeeping preparation
- Coordinate with building management for office maintenance and repairs
- Ensure a safe and clean work environment
- Organize all-staff meeting catering/set-up and staff events
- Chair the Staff Social Committee
- Provide regular office operations reports to management and identify areas for improvement
- Support the recruitment, onboarding, and training of new employees
Work Hours and Benefits:
- This is an in-office full-time position….37.5 hours per week
- Flex hours between 8:00 am – 4:00 pm or 8:30 – 4:30 pm
- Compensation based on experience
- 100% paid Health Benefits provided after 90 days of probation
- Two weeks (10 days) paid vacation/year
- Five paid sick days/year
- Annual bonus program
- Training provided, if necessary, to the appropriate candidate
Office Administrator Qualifications and Skills:
- Keeps track of multiple tasks simultaneously
- Strong verbal and written communication skills
- Works well with others and can foster a positive work environment
- Completes tasks on time and can adequately prioritize work
- Proficiency in using office software and database management
- Strong attention to detail
- Provides excellent customer service
- Works effectively as part of a team and contributes to a collaborative office culture
- Ability to plan, coordinate, and execute office projects or events
Education and Requirements:
- High school diploma, GED, or equivalent
- One to two years of experience in an office setting is an asset but not required
- Proficient with Google Workspace and Zendesk, an asset but not required
